Finance Manager

Introduction

Calibre Audio Library is a national charity providing a subscription-free postal and internet service of audio books to people who have sight problems, dyslexia or other disabilities. We offer a choice of over 10,000 unabridged titles fiction and non-fiction, including over 3,000 titles specifically for the under 16’s.    The charity was founded in 1974 and is not supported by any local or national government organisations, so we rely entirely on voluntary donations and other fundraising to continue with our valuable work. 

We have 43 members of staff helped by volunteers, and this team provides the workforce to supply a constant service to around 14,000 members.  We have a strong culture of mutual co-operation and strive to maintain a happy working atmosphere.  Our offices are situated on the eastern outskirts of Aylesbury, just behind the Holiday Inn on the A41. 

We are continuingly developing our services to provide members with a choice of formats to listen to our audio books. These currently include USB memory stick, MP3 CD, Streaming and have recently launched or new Download App.

 

The Position

The Finance Manager will join a successful, well established Charity with a well respected reputation and healthy financial position.

The person appointed will have full responsibility for managing the whole of the day to day financial operations of the Charity, these include bookkeeping, payroll, VAT returns, monthly management accounts, year-end and other financial reports, gift aid claims, the annual audit, preparing the statutory accounts and control of petty cash. 

He/she will, work closely with the Director and our Honorary Treasurer, a qualified accountant, who serves in a voluntary capacity on the board of trustees.  Our annual expenditure is typically circa £1.3million.

 

Staff Responsibilities

The post holder will supervise a part-time finance assistant, (who works 29 hours per week). 

 

Management Responsibilities

  • To contribute to the broad corporate management of the Charity in conjunction with the Director & Hon Treasurer.
  • To contribute to the efficient, legal and best practice management of all financial matters. To undertake special projects as required by the Director.
  • Assist the Director with the preparation of budgets and other financial analysis.

 

Main Functional Responsibilities

  • Monitoring, recording, banking and security of all donations, joining administration fees, merchandising sales, local authority and group membership subscriptions and other income received by the charity.
  • VAT preparation and payment of quarterly returns
  • Maintain and record accounts payable, bank payments and purchase ledger
  • Bookkeeping to trial balance
  • Monitor cash flow
  • Ledger management
  • Month end journals
  • Gift aid claims
  • Creating monthly management accounts.
  • Reconciliation of bank statements and petty cash
  • Processing of monthly payroll and all associated record keeping
  • Audit preparation at year end (31st December) and assistance with the preparation of annual accounts
  • Asset register management
  • Calibre’s credit cards transactions reconciliation
  • Travel and other out of pocket expense reimbursement to staff and volunteers

 

Person Specification

We are seeking to appoint a suitably experienced and self motivated person who should ideally have an AAT qualification, or equivalent, or significant relevant experience.  He/she will need the drive and enthusiasm to work largely unsupervised and bring a strategic and professional approach to the finance function. 

He/she will need to be proficient in the use of Sage Line 50 Accounts and Sage Payroll packages, including operating a “Salary Sacrifice” scheme, with associated IT skills including the use of spreadsheets and databases.

He/she must have good levels of communication and the ability to contribute to the management of the Charity, an understanding of working within the voluntary sector would be an advantage.

 

Salary and Benefits

The post of Finance Manager is part-time (28 hours per week), ideally spread over five days.  The salary scale for this post is £21,600 to £24,000, pro-rata the full time equivalent salary of £27,000 to £30,000, dependent upon experience and is paid monthly in arrears.  

Calibre provides death in service and sick pay benefits along with a Group Personal Pension plan to which Calibre will contribution match to 5% increasing to 7.5% after 5 years service.  We also provide 5 weeks holiday increasing to 6 weeks after five years service.  Calibre supports a “Salary Exchange” scheme, provides a healthcare cash plan and a “no annual absence” bonus.
